Membership and Billing Explained

When you sign up, it is a monthly membership. You will have the same time slot every week, and you do not need to re-enroll each week. The time and coach you choose will remain yours until you decide to stop.

Lessons are a recurring monthly membership and are billed at the beginning of each month (the first month is prorated). The price is calculated and billed for the number of classes that month. For example, your class is on a Monday and there are 5 Mondays in the month. Price of class x number of classes in that month = amount billed for that month.

Annual Registration Fee

There is a $30 annual registration fee per student collected at initial registration and annually on the anniversary month.

Dropping or stopping your classes Explained

If you wish to discontinue your membership it MUST be done on or before the 15th of the month prior to the start of the next month or you will be billed for the next month. If you stop halfway through the month, no credits/refunds are given for remaining classes. Do not tell your swimming instructor; they are not responsible for your account. The Drop date should be the date of your last lesson or the last day in the month. If you stop your monthly membership, you will lose your time spot. If you have Makeup Tokens remaining, you must go into the portal and select a class here https://www.swimphi.com/my-account/#makeup. Makeup Tokens don’t automatically get applied to your old time if you stop lessons.

  • Go to your portal Swimphi

  • Click “My Account”

  • Click on “Enrollments”

  • Click on “Drop Enrollment”

  • Enter Drop Date, along with any notes

  • Click “Yes, please drop!”

Reporting an Absence Explained

If you can’t make a swimming lesson, report an absence and a Makeup Token will be generated after the date of the reported absence. A Makeup Token will only be generated if your absence was reported more than 24 hours before the start of the lesson. If your absence was reported under 24 hours before the start of the lesson, it will count and be charged as a normal class.

  • Go to your portal Swimphi

  • Click “My Account”

  • Click on “Future Absences”

  • You can choose “By Date” or “By Enrollment”. Click on the easiest option.

  • Click “Submit Absences”

Makeup Tokens Explained

Each student is limited to one Makeup Token per month. Your Makeup Token will be generated after the date of the reported absence. A Makeup Token will only be generated if your absence was reported more than 24 hours before the start of the lesson. If your absence was reported under 24 hours before the start of the lesson, it will count and be charged as a normal class. If you report more than one absence in a month, you will not receive any additional Makeup Tokens. This means you will not be able to make-up more than one lesson in a month. After the first absence, you will be charged for the lessons missed regardless if it was reported within 24hrs beforehand. You can schedule your make-up lesson up to 7 days in advance and 12 hours beforehand at the latest. Makeup Tokens expire 90 days after they are issued.

  • Go to your portal Swimphi

  • Click “My Account”

  • Click on “Makeups”

  • Check you have the correction location using Location tab at the top.

  • Click on “Current Location Makeup Token”

  • Click on “Use Makeup Token”

  • Look through the dates and select an open “Private Lesson”. You can only use a Makeup Token within 7 days of class. There maybe more classes available closer to the class date due to people cancelling.

  • Click on “Use Makeup Token” to confirm

Enroll a student in class

If you have already created an account, you can easily enroll in a new class. This must be done 24 hours before the class starts, otherwise the system will not let you.

  • Go to your portal Swimphi

  • Click on “Enrollments”

  • Click on “Create Enrollment Now!”

  • Select the student (if you have multiples family members)

  • Click on “See Classes”

  • Check you have the correction location using Location tab at the top.

  • Select Private Lesson or class you are interested in

  • Click on “Enroll now!”

TRANSFER a student into another class

If you have already created an account, you can easily enroll in a new class. This must be done 24 hours before the class starts, otherwise the system will not let you.

  • Go to your portal Swimphi

  • Click on “Enrollments”

  • Click on “Transfer Enrollment”

  • Check you have the correction location using Location tab at the top.

  • Choose and click on a different class

  • Check Transfer Date is correct

  • Click on “Yes, please transfer!”

UPDATE credit card

  • Go to your portal Swimphi

  • Click on “Payments” tab

  • Add Payment Information

  • Click “Enter Payment Information”

Buy and Redeem a Punch Pass (for private lessons)

If you don’t want to commit to a monthly membership. You can purchase packages of private lessons instead. You can only book 7 days in advance from our availability we have that week. Once you had punched in (enrolled in a class) it can’t be undone. Unused Punch Passes expire 180 days from day of purchase.

  • Go to your portal Swimphi

  • Select Shop and then Passes

  • Select which package you want.

  • Select Student who package is for.

  • Click “Add Pass to Cart”

  • Click “Pay now”

To Redeem your Punch Pass

  • Go to your portal Swimphi

  • Click on “Passes”

  • Click “Use Punch Pass”

  • Select Date

  • Click on class you want

  • Click on “Punch In”

Transaction History

  • Go to your portal Swimphi

  • Click on “Transaction History” tab
